Executive AssistantAbout the OpportunityThe Executive Assistant to the Vice President for Marketing functions as an essential member of the Northeastern University marketing department. As a key partner and trusted collaborator, the Executive Assistant is committed to ensuring the efficiency and effectiveness of the university marketing department by providing a broad range of administrative, organizational, and functional support to the Vice President for Marketing. They will execute a variety of time-sensitive and complex responsibilities including routine interface with university and departmental colleagues on administrative, substantive, and confidential matters.
The Executive Assistant to the Vice President for Marketing is responsible for developing effective systems to manage the administrative and operational needs of the university marketing department. Administrative responsibilities include the preparation of draft communications, documentation and presentations on behalf of the Vice President for Marketing, strategically scheduling meetings, preparing meeting agendas, follow-up documentation and action plans. The Executive Assistant will ensure department workstream and resource plans align with university priorities, progress tracking, following up with key individuals, and regular status reporting. The selected individual must be able to communicate expectations professionally and effectively on behalf of the Vice President for Marketing, managing up when necessary.
This position is primarily in-person, with a hybrid option.
Qualifications:- Bachelor's degree
- 5+ years of experience supporting upper management with a focus in marketing strategy and/or operations - project management experience preferred, but not required
- Excellent verbal and written communication skills
- Exceptional organizational skills and attention to detail
- Diplomatic (yet tenacious) problem solver
- A self-starter who can take the lead when necessary
- Ability to work independently as well as part of a cross-disciplinary team

Responsibilities:Strategic Planning and Operational Management
- Provide strategic thought partnership, sound perspective, and guidance to the Vice President for Marketing and departmental colleagues
- Implement effective systems to manage the administrative and operational needs of the university marketing department
- Work closely with the portfolio management team to ensure visibility, prioritization alignment and resource needs
- Assist with acquiring resources and coordinating the efforts of department-wide teams, personnel, third-party contractors or consultants in order to deliver projects or initiatives according to plan
- Support and serve as key liaison for the Brand and Marketing Council, composed of marketing partners across colleges, institutes and key administrative units
- Coordinate regular meetings for the Brand and Marketing Council, help set the agenda, and facilitates follow up on related takeaways
- Serve as a liaison with university partners on an on-going basis; effectively communicating to leadership and colleagues in a timely and clear fashion
- Supervise and mentor marketing operations-focused roles
- Perform other duties as assigned.
Administrative Strategies
- Strategically manage the Vice President's calendar with an understanding of priority focus areas
- Frequently attend events and meetings with the Vice President and in advance set agendas and expectations for outcomes
- Influence and collaborate cross-functionally and at all levels
- Perform other duties as assigned.
Special projects
- Execution of projects, initiatives, and work streams in accordance with the needs of the Vice President for Marketing and the department.
