Position Summary
Reporting to the Senior Executive Director, Donor Relations and Broad-based Marketing, the Development Assistant provides administrative support to the Senior Executive Director and assists in overall operations of the stewardship/donor relations and broad-based marketing departments.
Responsibilities
Responsibilities include, but are not limited to the following:
- Works closely with other alumni and development personnel to assure smooth functioning of office and integration of all engagement, fundraising, donor relations and stewardship activities
- Assists in planning and implementation of related events including Columbia Giving Day
- Distributes and directs donor correspondence to the appropriate unit for efficient handling and processing
- Screens and responds to questions and concerns from internal and external constituents
- Processes gift checks and credit card donations; contacts donors to reconcile credit card information relative to rejected credit entries
- Updates biographical information in the Advance database
- Drafts and processes gift acknowledgement letters utilizing mail merges; creates, proofreads and edits written correspondence
- Serves as liaison/point of contact with Welcome Center, Gift Systems, and Business Services units for daily unit operations
- Monitors department???s general phone line and e-mail accounts
- Prepares correspondence, presentations, reports, financial summaries, and gift summaries
- Assists in preparation of staff materials and meetings, including research assistance
- Manages calendars and schedules regular meetings between internal partners and external constituents; provides administrative support for the team including travel arrangements and business meeting itineraries
- Processes expense reports and reimbursements for team members in timely and accurate manner
- Performs other related duties as assigned
Minimum Qualifications
High school diploma or its equivalent required. Some college preferred. Minimum three years related experience required. Knowledge of Microsoft Office suite required. Strong interpersonal, organizational and computer skills, including web-based applications required. The incumbent must have the ability to relate well to all levels of University personnel; project willingness to perform related duties as required. Excellent written and verbal communication skills are essential.
Preferred Qualifications
- Familiarity with Athena, Columbia University's donor's database system is preferred.
- Prior experience in an academic setting preferred.
- College degree strongly preferred.
