1.Provide administrative support to the Office of Marketing and Communications and the assistant vice president for external affairs and special assistant to the president.
2.Greet callers and visitors, provide assistance, refer to others and take and relay messages as appropriate. Coordinate office routine, create and maintain files, both digital and hard-copy. Produce professionally formatted and error-free documents, based on drafts prepared by others or self, using the Microsoft Office Suite.
3.Create slide presentations using PowerPoint and Keynote while ensuring College brand continuity.
4.Provide assistance with updating the College's website and/or the OMC intranet pages.
5.Maintain the College's digital photography library, schedule strategic campus photography in collaboration with the directors in marketing and communications and manage photo sessions accordingly. Provide assistance with updating the College's website.
6.Arrange for the distribution of communication (letters, email correspondence) to the College's neighbors as directed.
7.Coordinate student worker schedules and oversee the marketing/communications student worker hiring process.
8.Coordinate the annual stationery order, working with the College's director of marketing, graphic designer and the selected printer to ensure accurate printing and timely delivery. Order business cards, folders, mailing labels and note cards for the campus community.
9.Maintain office supplies inventory using the College purchasing system as appropriate. Maintain newspaper and publication subscriptions.
10.Prepare purchase orders and check requests as needed. Match packing slips with invoices. Produce monthly budget transfer requests. Process invoices on a weekly basis and maintain detailed account of budgets. In collaboration with the assistant vice president for external affairs, the senior director of marketing and the director of communication, review and monitor budgets.
11.Manage special projects as directed by the assistant vice president for external affairs.
12.Support the College's mission, vision and values, and contribute to the advancement of the College's Strategic Plan.
13.Demonstrate a strong commitment to continuous quality improvement.

An associate's degree or equivalent work experience is required. A bachelor's degree is preferred.
A minimum of (2) two years of experience in an administrative support role involving office operations, including computer applications, typing, spelling, and grammatical skills proficiency in presentation software (Keynote, PowerPoint) and the Microsoft Office Suite, spreadsheets and database management. Prior experience within an institution of higher education strongly preferred. A keen sense of operational logistics and project management (applicable to photo shoots, marketing and communications discovery sessions and event support). Writing and editing experience is a plus.

The Administrative Assistant to the Office of Marketing and Communications Department must be a highly organized individual who is responsible for providing administrative and related support to OMC and the assistant vice president for external affairs and special assistant to the president, while helping to disseminate information about the College, its people and its programs through various communications channels and publications according to the College's marketing p lan . Functions include: building slide presentations (using Keynote and PowerPoint), maintaining and implementing an annual external affairs communications calendar, maintaining and updating digital signage, maintaining the College's digital photography library, scheduling and managing photography sessions, scheduling the marketing and communications student worker team, managing the College's stationary, business card and nametag ordering process, providing support during major campus events and meetings, and performing other support functions including managing certain calendars, processing all OMC invoices and generating monthly budget reports.
